Tips for Group Leaders

Thank you for your interest in organizing a group for an upcoming Weekend Getaway! You will be instrumental in bringing help and hope to marriages and families. It’s so rewarding to see the joy couples experience during and after these incredible weekends.

Plus, by starting a group for 5+ couples you all benefit from the reduced group rate!

To make your job easier, here’s an outline of 4 steps to take when putting a group together.

1. Create your Group

NEW! You can now “Register As A Group” without needing to enter registration info for each couple yourself.

From the main Weekend Getaway page, where you see the conference locations, click “Register Now” and you’ll be taken to the Event Registration where you can choose the “Register as a Group” option and click “Continue.” 

You’ll then be asked to create a group and set up two passcodes: one that you’ll pass along to any couples who want to join your group and the other passcode will be for you to check in on who has registered as part of your group. You’ll also get a notification email every time a couple has completed their registration to join your group.

Once you set up the group, you’ll then receive a “Your group has been created” email in your inbox (check your junk folder if you don’t see it right away or put that email subject into the search bar). It contains all the necessary information other couples will need to register in your group. You can simply forward this email to any couples that want to register as part of your group. 

With your group set up you can then register yourself right away. No need to wait for the additional 4 couples to register!

What if you can’t quite find 5 couples? 

If you do not reach the minimum number of 5 couples for the group rate two weeks prior to the conference date, you’ll have the option to purchase gift certificates at the same rate to reach the 5 couple minimum. These gift certificates do not expire and can be used for any location in Canada.

Alternatively, you can change your registrations into Early Bird Rate registrations and pay the difference in registration cost. If you have any questions about your group registration, please email events@familylifecanada.com for clarification. 

2. Spread the word about the Weekend Getaway

Spread the word about the Weekend Getaway in your church or community 3-6 months before the event. It’s always best to first let your pastor or priest know about your vision to help couples.

You can send your connections directly to the main info page for Weekend Getaways. Or if you want to pass along brochures, you can order the amount you need (ready by August) and we’ll mail them out to you as soon as possible at no cost.

There are also handy Digital Promo Images and Tools that feature each location (such as PowerPoint Slides and promo videos).

Another easy way is to simply forward some of our promo emails on to friends, church connections or family, adding a personal note as you do. If you’re not signed up yet for our monthly newsletter and event announcements, you can sign up at the top of this page.

3. Add couples to your group

Option One: They register on their own

Once a couple is ready to register you can either forward them the direct link to your group or provide them with your group name and passcode. Couples can then either click the link in the email that you forwarded to them or they can go directly to the registration page for the location, search for your group name and enter the passcode you sent them.

Each couple can register on their own so there’s less admin work for you!

Option Two: You collect the information and register them

You can also add couples to your group by using the “Manage my Group” link in your email. This allows you to either input their information on your own or “Send as Gift” to allow them to complete the registration.

You can continue registering couples at the group rate up until 2 days before the event. 

Here are two handy ways to collect all the necessary information prior to registration:

Special Promo: If you have a group of 10 or more couples registered at least 30 days before the event, you will receive 2 nights at the event hotel for free! You can give these hotel nights away for someone else to use; for example, someone in your group who may be in financial need, or you can enjoy the free hotel nights yourself for all the hard work you did to create the group! (terms and conditions apply*)

*Hotel nights are at the venue hotel for the Friday and Saturday night of the event at the lowest conference room rate available. Any upgrades would be at the expense of the attendee. Parking and incidentals are not included. Couples must be registered 30 days before the event. Once you’ve reached 10 couples please email events@familylifecanada.com to claim your two free nights!

4. Book your hotel accommodation

Each hotel has a room booking deadline for when our negotiated conference discounted rates expire. This is typically 30 days before the event. Some hotels will continue offering the rate after this deadline, but it’s not guaranteed and is based on room availability. Encourage your group to book at the hotel before the discount expires. The hotel rates are based on availability, so the sooner you book the more selection you’ll have.

Group FAQ

No, the group can be set up by an administrator. They’ll receive the original group email and then each couple will receive their own follow up emails as they register.

Groups need to be registered at a minimum of two days before the conference. However, we recommend setting up your group as soon as you have the first few couples confirmed so you can reserve their spots. Some locations do sell out as much as a month early.

Group registration covers the conference only. For the hotel, couples should book their accommodation individually. To ensure they receive the conference rate, they can book their rooms even before they submit their conference registration, especially if the hotel has limited capacity or the room booking deadline is approaching soon. The link to book the hotel online (and/or the phone number) can be found on the info page for each location.

Group registration is non-refundable. If a couple needs to cancel, their registration can be transferred to another couple or they can receive a credit to be applied to a future conference.

Yes. You can now choose “Send as Gift” in the registration process. Once you finish the purchase you’ll then be able to email the recipient with a link for them to fill in their information.

If you do not reach the minimum number of 5 couples for the group rate two weeks prior to the conference date, you’ll have the option to purchase gift certificates (at the $225 rate) to reach the 5 couple minimum. These gift certificates do not expire and can be used for any location in Canada.
